WhatsApp & bookings

The WhatsApp booking system your business already has, unofficially

India runs on WhatsApp for business already. The problem was never getting the message — it was that every enquiry arrived as "hii is slots available" with no service, no price and no name attached.

If you run a salon, a coaching class or a home-based catering business, this will sound familiar: a message lands on WhatsApp at 9pm, it says "hi mam timing?", and you have no idea which service they mean, what they are willing to pay, or whether they are even in your city. You reply, they go quiet, and you never find out if you lost a booking or just a time-waster.

That is not a WhatsApp problem. WhatsApp is doing exactly what it should — it is the channel your customers already trust and already have open. The problem is that nothing is feeding it structured information before the conversation starts.

That second number is worth sitting with. Most advice about "digital presence" assumes the goal is a polished website. For an Indian service business, the data says the opposite: your customers already trust WhatsApp more than they trust an app or a site. The job is not to replace WhatsApp with something else — it is to make sure the right information reaches WhatsApp before the customer has to type a single word.

What a real WhatsApp booking setup looks like

A proper WhatsApp booking flow has three parts, and most small businesses are only doing the third one:

  1. A public page listing your services and prices, so a customer already knows what they want before they message you
  2. A "Book now" button on each service that opens WhatsApp with your number and that specific service pre-filled in the message
  3. You, replying to a message that already says "Hi, I would like to book: Bridal Hair & Makeup Trial" instead of a blank "hii"

The difference in step 3 is the entire point. A pre-filled message means you spend zero time on "which service do you mean" back-and-forth, you can quote instantly because you know exactly what was asked, and you can tell in one glance whether this is a real enquiry or someone browsing.

Why a plain WhatsApp Business number is not enough on its own

WhatsApp Business gives you a catalog feature, quick replies and labels — genuinely useful once someone is already messaging you. What it does not give you is a shareable link that shows prices, photos and reviews before the chat starts. Put your WhatsApp number alone in your Instagram bio and every single enquiry starts from zero information. Put a booking page in your bio instead, with a WhatsApp button on every service, and the enquiry arrives pre-qualified.

Setting it up

  • List your services with real prices, or "get a quote" for anything custom
  • Connect your WhatsApp Business number so every booking button opens a chat with that service already typed in
  • Add photos and a couple of reviews so a stranger has a reason to trust you before they message
  • Put the one link in your Instagram bio, your WhatsApp Business "About" section, and your Google Business Profile
  • Reply the same way you always have — nothing changes about how you actually run the conversation, only what arrives before it

This is what Frontdesk's public page does by default: every service gets its own "Book now" (or "Get a quote") button that opens WhatsApp with the message already written. No app for your customer to download, no account for them to create, no change to a habit that 78% of Indian small businesses have already built their customer relationships on.

Frequently asked questions

Do customers need WhatsApp Business, or does a regular number work?

A regular WhatsApp number works fine on your side. The booking page just needs your number to build the pre-filled chat link — your customer taps it and it opens their normal WhatsApp app.

What if I also get calls and Instagram DMs?

Keep them. A booking page is not exclusive to WhatsApp — most pages also list a phone number and Instagram link. WhatsApp just tends to convert best because the message arrives pre-written.

Can I see how many people clicked "Book now" versus actually messaged me?

A basic page-view and click counter (no external analytics tag) is enough to tell you whether people are reaching the page and tapping through — useful for knowing if the problem is traffic or the page itself.

Is this different from WhatsApp's own catalog feature?

WhatsApp Catalogs work well for products with fixed prices you can scroll through inside a chat. A service business usually needs more — team members, photos of the actual work, reviews, and a mix of fixed and quote-only pricing — which is easier to build as one shareable page than inside WhatsApp's own catalog UI.
